Welcome to Fuelytics. These Terms of Service ("Terms") are a legal agreement between you and Fuelytics (the "Service," operated by the responsible party identified in the app) and govern your access to and use of the Service. Please read them carefully. By creating an account, or by accessing or using the Service, you agree to these Terms and to our Privacy Policy, which is incorporated by reference. If you do not agree, do not use the Service.
1. The service
Fuelytics is a fuel-tracking web application. You log fuel fill-ups and vehicle events per vehicle — by typing them in, or by using the optional AI fill-up capture feature — and the Service computes fuel-economy and cost trends for the vehicles you track. Fuelytics is organized around vehicle groups: data is scoped to a group, and a group Owner controls who may see and add data within it.
2. Eligibility and your account
- Age. The Service is not directed to children. You must be at least 16 years old (or the minimum age required by the law where you live, if higher) to create an account.
- Sign-in. You can create an account with an email address and password, a one-time email sign-in link, or your phone number with an SMS code. You are responsible for keeping your sign-in method and device secure.
- Accurate information. You agree to provide accurate account information and to keep it current.
- Your responsibility. You are responsible for activity that occurs under your account. Notify us promptly (see Contact) if you believe your account has been accessed without your authorization.
- Groups and roles. When you join or create a group you receive a role (Owner, Contributor, or Viewer). A group Owner can see and manage the vehicles, fill-ups, and events in that group, including records added by other members, and can manage members and roles. Do not add another person to a group, or add data on their behalf, without the right to do so.
3. Free service and fair use
Fuelytics is free to start, with no credit card required. To keep shared features (including AI fill-up capture) healthy and available for everyone, we apply reasonable fair-use limits and may rate-limit or temporarily degrade a feature — for example, if AI capture is temporarily unavailable, you can always enter a fill-up manually. We may introduce paid plans or optional paid features in the future; if we do, we will describe them before they apply to you, and the core experience that is free today will not start charging you without notice and your agreement.
4. AI fill-up capture
AI fill-up capture is optional. If you use it, you take photos of your fuel pump and odometer, and the Service sends those photos and related capture metadata to our AI sub-processor, Anthropic (the Claude API), solely to read the values from the images. We do not store the photos on our servers after extraction (in production and staging they are processed transiently), and the photos are not used to train AI models. Our use of the sub-processor is governed by a data-processing agreement; the sub-processor may retain limited processing data for up to 30 days for operational and safety purposes. - You confirm before saving. AI capture is an assist, not an authority. Readouts can be affected by glare, lighting, focus, and unusual displays. The Service always shows you the extracted values to review, and you confirm or correct them before anything is saved. You are responsible for the accuracy of the data you save.
- No guarantee of accuracy. We do not warrant that AI capture will correctly read any given image. The feature is provided on an "as is" basis as described in Section 9.
5. Your content and ownership
- You own your data. As between you and Fuelytics, you retain ownership of the fill-up records, vehicle information, events, and other content you enter ("Your Content").
- License to operate the Service. You grant Fuelytics a limited, non-exclusive license to host, process, display, and back up Your Content for the purpose of providing and maintaining the Service to you and the members of your group. We do not sell Your Content, and we do not use it to train AI models.
- Sharing within a group. When you add data to a group, the members of that group can see it according to their roles. Choose what you share, and with whom, accordingly.
6. Acceptable use
When you use the Service, you agree not to:
- use the Service for any unlawful purpose, or to store or transmit unlawful content;
- upload or enter another person’s personal data without the right or consent to do so;
- attempt to access accounts, groups, or data that are not yours, or to circumvent the Service’s authentication, App Check, rate limits, or other security controls;
- probe, scan, scrape, overload, or disrupt the Service or its infrastructure, or use it to build a competing dataset by automated means;
- reverse engineer, decompile, or attempt to extract source code or secrets from the Service, except to the extent this restriction is prohibited by law;
- misuse the AI capture feature to submit content unrelated to a legitimate fill-up, or in a manner intended to abuse shared usage limits.
We may investigate suspected violations and may suspend or terminate access for conduct that violates these Terms or harms the Service or other users (see Section 8).
7. Privacy
Your use of the Service is also governed by the Fuelytics Privacy Policy (v1.2), which explains what we collect, how it is used and shared, how long it is kept, and the choices and rights you have, including the disclosure of Anthropic as the AI-capture sub-processor. The Privacy Policy is incorporated into these Terms by reference. If we make a material change to the Privacy Policy, we will notify you and ask you to review and accept it before you continue using the Service.
8. Account deletion, suspension, and termination
- Deleting your account. You can request deletion of your account at any time by emailing privacy@fuelytics.app. Deletion is reversible for 30 days: on a verified request your account is deactivated and scheduled for permanent deletion 30 days later, and during that window a support-mediated restore (after identity re-verification) can reactivate your account with your fill-ups, vehicles, events, and memberships intact. At the end of the 30-day window the permanent purge occurs and cannot be undone. We will email you when permanent deletion is complete. Certain records (such as audit-log entries) are retained on the schedule described in the Privacy Policy.
- Suspension or termination by us. We may suspend or terminate your access if you materially violate these Terms, or to protect the Service, other users, or to comply with law. Where reasonable, we will give you notice and an opportunity to address the issue.
- Effect of termination. When your account is terminated or fully purged, your right to use the Service ends. Sections that by their nature should survive — including ownership, disclaimers, limitation of liability, and governing law — survive termination.
9. Disclaimers
The Service is provided on an "as is" and "as available" basis, without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that fuel-economy figures, cost calculations, or AI-extracted values will be accurate or complete. Fuelytics is a personal record-keeping and trend tool; it does not provide professional, financial, mechanical, or safety advice, and you should not rely on it as such.
10. Limitation of liability
To the maximum extent permitted by law, Fuelytics and the responsible party will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, profits, or goodwill, arising out of or relating to your use of (or inability to use) the Service, even if advised of the possibility of such damages. To the maximum extent permitted by law, our total liability for any claim relating to the Service will not exceed the greater of the amount you paid us for the Service in the twelve months before the claim, or USD 50. Some jurisdictions do not allow certain limitations, so some of the above may not apply to you.
11. Changes to the service and to these terms
We are actively developing Fuelytics and may add, change, or discontinue features. We may also update these Terms from time to time. If we make a material change to these Terms, we will provide notice (for example, in the app or by email) and, where appropriate, ask you to accept the updated Terms. Changes take effect when posted with an updated effective date; by continuing to use the Service after that date, you agree to the updated Terms. If you do not agree, you should stop using the Service and may delete your account.
12. Governing law and disputes
These Terms are governed by the laws of the United States and the State of Washington, without regard to its conflict-of-laws rules. You agree that the state and federal courts located in King County, Washington will have exclusive jurisdiction over any dispute that is not subject to applicable consumer-protection rules that require otherwise. Nothing in these Terms limits any non-waivable statutory rights you have where you live.
13. General
- Entire agreement. These Terms and the Privacy Policy are the entire agreement between you and Fuelytics regarding the Service and supersede any prior agreements on that subject.
- Severability. If any provision is held unenforceable, the rest of the Terms remain in effect.
- No waiver. Our failure to enforce a provision is not a waiver of our right to do so later.
- Assignment. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or transfer of the Service, with notice to you.
